The Human Resources Coordinator assists and facilitates the human resources processes at the University. This position will help organize, coordinate and carry out all human resources department projects and processes for the University. The position works directly with and assists the Human Resources Director to fulfill a variety of necessary HR responsibilities. This includes, recruitment, terminations, orientation, job evaluation, labour relations, training and development, performance management, and time off reporting. The HR coordinator must be organized, detail oriented, personable and approachable. Attention to detail, outstanding customer service, effective problem-solving skills and the ability to handle sensitive information confidentially are the foundations of this role.

    Position Summary

    The Human Resources Coordinator assists and facilitates the human resources processes at the University.  This position will help organize, coordinate and carry out all human resources department projects and processes for the University. The position works directly with and assists the Human Resources Director to fulfill a variety of necessary HR responsibilities.  This includes, recruitment, terminations, orientation, job evaluation, labour relations, training and development, performance management, and time off reporting.  The HR coordinator must be organized, detail oriented, personable and approachable. Attention to detail, outstanding customer service, effective problem-solving skills and the ability to handle sensitive information confidentially are the foundations of this role.

    KEY RESPONSIBILITIES

    • Work directly with and report to the HR Director regarding all HR endeavours
    • Support HR Director in educating employees on and enforcing company policies
    • Assist in the full hiring process of employees, including recruitment, interviews, verifying work-history and references, and tracking of new possible candidates in HRIS
    • Perform administrative tasks such as filing paperwork, schedule meetings, draft correspondence, order supplies, process expense reports, track employee time off and maintain employee files.
    • Being the go-to person for employees with benefits-related, collective agreement, general HR policies questions and problems
    • Maintain the department’s calendar and schedule any meetings the HR Director requires
    • Maintain confidentiality and security of employee, organizational, proprietary records, files, and information at all times
    • Oversee new-hire procedures, including organizing employee orientation, creating new employee files, administering employee handbooks, and ensuring all necessary paperwork is properly filled out and submitted to appropriate persons
    • Assist with job evaluation maintenance programs
    • Track benefit plans, including health, retirement, disability, etc.
    • Assist with the preparation and tracking of annual department budget
    • Ensure all health and safety regulations are followed and actively participate in Joint Health and Safety Committee
    • Prepare materials and help organize employee performance reviews
    • Present any new or additional training materials to employees
    • Work closely with Finance department to ensure benefit enrolment, pension administration and payroll processes are correct
    • Foster positive employee relations and work to solve any employee issues that surface
    • Make sure all employee records are filed correctly and kept confidential
    • Abide by company-enforced HR processes and current employment laws and regulations
    • Under the leadership of the HR Director, be a source of human resources information, answering any questions employees may have
    • Assist with all HR related projects
    • Other duties as assigned

    QUALIFICATIONS

    • Bachelor’s degree in human resources or related field or equivalent in education and experience
    • 3+ years of relevant experience in human resources
    • Highly organized and efficient worker; skilled at multi-tasking
    • Strong skills using Microsoft Office Suite
    • Ability to handle sensitive information with discretion
    • Strong communication skills, both oral and written; ability to develop interpersonal relationship with employees at all levels
    • Meticulous attention to detail
    • Strong familiarity with provincial and federal laws regulating employee relations practices
    • Ability to follow directions accurately and without hesitation
    • Willing to take initiative and work independently when needed
    • Proficiency using HR software and HRIS databases is essential, as is an interest in IT
    • Good time-management skills
