The Project & Operations Manager will manage the administrative functions of the Office of Bursar & CAO’s projects and programs. The incumbent will oversee the various projects to ensure deadlines and compliance requirements are met including restraints of time, quality and budget. Reporting directly to the Bursar & CAO, the Project & Operations Manager manages schedules, arranges assignments, prepares action plans, analyzes risks/opportunities, gathers necessary resources and communicates progress to the Bursar and department leaders. The goal of the Project & Operations Manager is to ensure all the projects under the Bursar’s portfolio are completed within the restraints of time, quality, and budget.

    POSITION SUMMARY

    The Project & Operations Manager will manage the administrative functions of the Office of Bursar & CAO’s projects and programs. The incumbent will oversee the various projects to ensure deadlines and compliance requirements are met including restraints of time, quality and budget. Reporting directly to the Bursar & CAO, the Project & Operations Manager manages schedules, arranges assignments, prepares action plans, analyzes risks/opportunities, gathers necessary resources and communicates progress to the Bursar and department leaders. The goal of the Project & Operations Manager is to ensure all the projects under the Bursar’s portfolio are completed within the restraints of time, quality, and budget.

    DUTIES & RESPONSIBILITIES

    • Managing daily administrative functions of a project or program in the Bursar’s Office.
    • Liaising with senior management members, professionals and consultants to define outcomes and timelines.
    • Collecting and analyzing project data and reporting on outcomes.
    • Advising Bursar & CAO on matters requiring escalation.
    • Implementing directions of Bursar & CAO.
    • Supervising administrative assistant of the Bursar’s office
    • Preparing agenda and documents for various committees including Finance & Audit Committee, Investment and St. Michael’s College Foundation
    • Coordinating and administering meetings, including issuing of minutes.
    • Managing project documentation and contracts, raising issues and implementing changes to contracts.
    • Providing daily support to project team as directed by Bursar & CAO.
    • Overseeing work performed by contractors and reporting on variations.
    • Assisting senior management members with budgeting and regular reporting.
    • Scheduling routine meetings and recording decisions (e.g., next steps, assigned tasks etc.)
    • Breaking complex projects into simpler tasks and setting goals and timeframes.
    • Creating and updating workflows.
    • Chair ESG & Property Advisory Committees of St. Mike’s.
    • Write minutes for Finance & Audit Committee.
    • Provide project management experience for various projects at St. Mike’s.
    • Complete the monthly reporting to the President’s office.
    • Work with other departments on operational matters including food operations, move in/out procedures, etc.
    • Measuring and reporting on the project performance.
    • Acting as the contact point for all project participants.
    • Monitoring progress of the project and also addressing potential issues.
    • Coordinating quality controls for ensuring the deliverables meet client demands.
    • Retrieving necessary information such as related case studies and client/user requirements.
    • Tracking expenses and predicting future costs.
    • Conducting risk analyses.
    • Preparing and providing documentation to key stakeholders and internal teams.
    • Ordering resources (e.g., software and equipment)
    • Other duties as assigned

    QUALIFICATIONS

    • University degree or acceptable equivalent combination of education and experience
    • 3 to 4 years prior experience as a Project Manager, Project Coordinator or a similar role
    • Experience with technical documentation, flowcharts, and schedules
    • Ability to lead a team and supervise administrative staff
    • Ability to work in a fast-paced team environment
    • Strong multitasking skills with the ability to prioritize tasks
    • Excellent attention to detail
    Excellent written and oral communication skills
    Excellent interpersonal skills exercising professionalism and discretion at all times
    Problem-solving skills with a keen eye for details
    • Exceptional time-management and organizational skills
    • Strong verbal as well as written communication skills
    • Excellent collaboration and communications skills required
    • Experience in with computer applications, including Microsoft Office and Adobe applications
    • Experience in maintaining, filing and processing financial statements
    • Demonstrated self-directed and independent problem-solving work experience, including the ability to effectively work remotely
    • Ability to exercise diplomacy dealing with staff, students and external contacts
    • Ability to work collaboratively with other office staff, management and external stakeholders
    • Knowledge of St. Michael’s College and the University of Toronto is an asset
